Billing automation refers to the use of childcare management software to handle the financial operations of a childcare program, including invoice generation, payment processing, tuition tracking, and late fee application. Instead of manually creating invoices and tracking payments in spreadsheets, automated systems handle these tasks on a recurring schedule with minimal director intervention.

A typical billing automation workflow includes setting up tuition plans with weekly, biweekly, or monthly frequencies, automatically generating invoices on a schedule, sending payment reminders to families, processing credit card or ACH payments, and applying late fees according to the center's policies.
