A spreadsheet column that says OVERDUE cannot answer that, because it says nothing about whether the center is missing paperwork, holding contradictory records, or holding reviewed records that indicate a real gap.

• Every dose record is revision-tracked

  Corrections create a new revision rather than silently rewriting history.

• Verification pins the exact revisions reviewed

  When a staff member records that they have reviewed a child's records, the review is bound to the records as they were in that moment. It documents the review; it does not authenticate the underlying paperwork.

• Changed evidence reopens the review

  Add or correct a dose after a review and the child automatically returns to review. A green can never outlive the paperwork it was based on.

Closing the loop with the family

Each vaccine needing attention is actionable in place. Tap the row and the right next step is waiting:

   Request record sends the family your immunization record request form in their parent app, and tells you if one is already waiting instead of sending a duplicate.

   Record dose opens prefilled for that vaccine and dose.

   Review evidence jumps to the records on file so you can review and verify them.

When the records are in and reviewed, the center sets the determination: Verified on schedule is only available once nothing is outstanding, Needs follow-up keeps the child on the working list, and Override requires a written reason that lands in the audit trail.

What this changes in practice

A daily check keeps every status current and sends families a gentle reminder in their parent app for outstanding doses and documents (no setup needed beyond families having the app with notifications on). The director's job shrinks to reading a handful of counts that mean what they say: how many children are on track, how many records are missing, and whether any reviewed records indicate an overdue dose.
