Punch Cards for Drop-In Care

A punch card is a prepaid pack of drop-in credits, for example 10 drop-in days sold at a set price. It is the simplest way to bill part-time and drop-in families: they pay once up front, and each visit uses one credit.
Setting Up a Punch Card Pack
- 1Go to Pricing > Additional Charges.
- 2Add a new charge and choose the Punch card type.
- 3Set the number of credits in the pack, the price, and an optional expiration.
- 4Save. The pack is now available when creating invoices.
Selling a Card to a Family
- 1Go to Billing > Invoices and create a new invoice for the family.
- 2Click + Punch card, then select the pack and the child it is for.
- 3Send the invoice.
- 4The card activates automatically as soon as the invoice is paid, whether the family pays online or you record an offline payment.
How Credits Are Used
- Automatic: when a drop-in child with an active card is checked in, one credit is deducted for that day.
- Manual: staff can deduct a credit from the family's billing view with the Use 1 credit action.
- If a check-in is removed the same day, the credit is restored automatically.
Tracking Balances
The family's billing view shows every active card with its remaining credits, plus a history of past cards (used up, expired, or cancelled).
When a card is nearly used up, the family receives a reminder so they can buy their next pack before running out.
