Many families receive childcare subsidies from government or third-party agencies. Neztio's agency management system, found in the Billing section, lets you create agency records, assign children, and track payments so subsidies are properly reflected in your invoicing.
Create an Agency
- 1Go to the Billing section from the left sidebar.
- 2Navigate to the Agencies area.
- 3Click Add Agency.
- 4Enter the agency name and contact details.
- 5Click Save.
Assign Children to an Agency
- 1Open the agency record.
- 2Click Assign Child.
- 3Select the child from the enrollment list.
- 4Enter the coverage amount and the date range for the subsidy.
- 5Click Save. The agency assignment is now linked to the child's billing profile.
Track Agency Payments
For each assigned child, you can record agency payment amounts and dates as they are received. Agency payments are factored into invoice splits, so the family is only billed for the portion not covered by the subsidy.
Update Coverage
Subsidy amounts and date ranges can change over time. Open the child's agency assignment to update the coverage amount or extend and adjust the date range. Changes apply to future invoices only.
Keep agency payment records up to date as reimbursements come in. This ensures your family invoices accurately reflect what each family owes after the subsidy is applied.
