Ratio Alerts looks ahead instead of back. Using who is clocked in, who is assigned to each room and who is checked in, it works out when a room will hit its limit and suggests a fix before it happens. Go to Staff in the left sidebar and open the Ratios tab.
Reading the Page
- Current Status: every room with OK, At Risk, Violation or Empty, plus children and staff counts. At Risk means one departure triggers a violation.
- Alerts: the rooms at risk in the coming hours, with the reason, for example a teacher's shift ending or not enough staff clocked in, and when it will happen.
- Timeline: today's coverage by room, so you can see the gap at a glance.
Fixing an Alert
- 1Open the alert. The Suggested fix names a staff member who can move and the room they would come from, with that room's current ratio and limit.
- 2Click Apply fix to move them. The Coverage Map and the room's ratio update immediately.
- 3If no fix is suggested, open the room card for details and use Open Time Tracking or Open Attendance to see who is in.
Set the Ratio on each room under Classrooms to your state's exact requirement, and add each person's usual shift under Staff, Time tracking, Schedules. Alerts use the schedule to see a shift ending before it happens.
Alerts read live check-ins and clock-ins. A teacher who forgot to clock in looks like a missing teacher, so ask staff to clock in as they arrive.
