The Reports section gives center administrators a single place to generate, preview, and export key operational reports. All reports can be filtered by date range and exported to CSV for licensing inspections, internal reviews, or subsidy agency submissions.
Attendance Log
The Attendance Log exports every child check-in and check-out record for a given date range. This is the most commonly used report during licensing inspections. Use the quick export presets (Today, This Week, This Month, Last Month, Last 90 Days) or select a custom date range. The CSV includes child name, classroom, check-in time, check-out time, total hours, and who performed the check-in.
Ratio Report
The Ratio Report shows staff-to-child ratios for each classroom across a date range. It flags any periods where ratios exceeded the configured limit. This report is critical for demonstrating ongoing compliance with state ratio requirements during inspections.
Incident Log
The Incident Log lets you document and export safety events, injuries, behavioral incidents, and other reportable events. Each incident records the date, time, children involved, staff present, incident type, description, and any follow-up actions. Incidents can be created directly from the Reports section.
Pickup Authorization
The Pickup Authorization report generates a current list of authorized pickup contacts for every enrolled child. This is useful for front-desk staff and is commonly requested during licensing inspections to verify that centers maintain accurate pickup records.
Staff Coverage Report
The Staff Coverage Report provides a snapshot of classroom staffing levels, enrolled child counts, and ratio compliance status. Use it to identify coverage gaps and demonstrate that your center maintains adequate staffing throughout the day.
Subsidy Exports
If your center receives subsidy funding, the Subsidy Export generates attendance data formatted for your subsidy agency. Configure your subsidy settings (agency name, attendance requirements, absence thresholds) in the Reports section, then export attendance records that match agency reporting requirements.
Quick Exports
- 1Navigate to Reports in the Business section of the sidebar.
- 2Select the report type you need.
- 3Choose a date range using the preset buttons or custom date picker.
- 4Click Generate to preview the report, or use a Quick Export preset to download immediately.
- 5The CSV file downloads automatically to your computer.
Before a licensing inspection, generate the Attendance Log, Ratio Report, and Pickup Authorization for the inspection period. These three reports cover the most common inspector requests. Keep exported CSVs organized in a folder for easy access during the visit.
