Staff Scheduling

The scheduling tool lets you build weekly schedules for your entire team. Assign staff to specific classrooms and shifts so everyone knows where they need to be. Schedules tie directly into the coverage map and ratio monitoring.

Creating a Weekly Schedule

  1. 1Go to Staff > Schedules in the left sidebar.
  2. 2Select the week you want to schedule using the date picker.
  3. 3Click Add Shift to create a new entry.
  4. 4Select the staff member, classroom, start time, and end time.
  5. 5Repeat for each shift you need to fill.
  6. 6Click Publish Schedule to make it visible to staff.

Assigning Staff to Classrooms

Each shift is linked to a specific classroom. This ensures the coverage map accurately reflects who is assigned to each room at any given time. You can assign multiple staff to the same classroom if ratios require it.

Handling Shift Swaps

  1. 1Open the schedule for the relevant week.
  2. 2Click on the shift that needs to change.
  3. 3Select Swap Staff and choose the replacement staff member.
  4. 4Confirm the swap. Both staff members receive a notification.

Publish schedules at least one week in advance so staff can plan ahead. Published schedules appear in each staff member's My Info portal.

  • Draft schedules are only visible to admins until published
  • Published schedules send a notification to all affected staff
  • Changes to a published schedule trigger an update notification
  • Past schedules are archived and available in reporting
